The London Police Service Board (the “LPSB”) is committed to protecting your privacy, and this privacy notice (this “Notice”) explains how the LPSB collects, uses, or discloses (collectively, “processes”) your personal information when you visit and use our website at https://lpsb.ca (the “Website”).
Please review this Notice carefully and note that you are not required to provide any personal information on the Website. If you provided any personal information to the LPSB and you wish to make a request or ask any question in regard to that personal information, please contact the LPSB’s Executive Director (the contact information is at the end of this Notice).

The LPSB processes your personal information under the authority of the Community Safety and Policing Act, and your personal information will be processed pursuant to the Municipal Freedom of Information and Protection of Privacy Act, R.S.O. 1990, c. M.56.
Where required, the LPSB will obtain your consent (or, if you are under the age of 16, your legal guardian’s consent) before or when the LPSB processes your personal information. However, this may be done without your knowledge or consent only as specified and permitted by law.
When necessary, the LPSB will use reasonable efforts to ensure that you or your guardian are advised of the purposes for which your personal information will be processed. If the LPSB intends to process your personal information for a purpose that was not previously identified to you, the new purpose will be identified and documented internally, and, where necessary, the LPSB will seek and obtain your or your guardian’s consent before doing so.

The LPSB collects your personal information through the Website either directly from you or automatically through our cookies.
(a) Direct Collection. The LPSB directly collects your personal information directly from you through the following means:
(i) When you submit a feedback form to the LPSB, the LPSB will collect your name, email address, and any other personal information found on such form; and
(ii) When you email any member of the LPSB, the LPSB will collect your email address, usually your name, and any other personal information found in such email.

3. Use of Personal Information.

- Creation of Records: The LPSB has a policy to create records describing its dealings with individuals that contact it. When you contact the LPSB in any way or manner, a record that contains your personal information may be created.
- Responding to you: The LPSB will use your personal information to validate your identity or respond to your inquiry.
- Website Tracking Technologies: The LPSB will use the information obtained from the performance / analytics cookies technology for diagnosing technical problems, improving operations and the content of the Website, and compiling aggregate and statistical data to learn about the aggregated visitors to the Website.

The LPSB may disclose your personal information to the following types of persons / entities for the following purposes:
- To the LPSB’s officers, employees, or other agents
The LPSB may disclose your personal information to its officers, employees, consultants, or agents who need the personal information in the performance of their duties and if the disclosure is necessary and proper in the discharge of the LPSB’s functions.
- To the London Police Services’ (LPS’) officers, employees, or other agents
The LPSB may disclose your personal information to the LPS and its applicable officers, employees, consultants, or agents where your inquiry with the LPSB was intended for the LPS or is otherwise an inquiry that is operational in nature.
- To Third-Party Service Providers for the LPSB’s Functions
Personal information may be shared with third-party service providers where processing is necessary to further services provided by the LPSB. For example, when you email the LPSB, your identity and email may be shared with the LPSB’s email hosting provider, or if you submit a form to the LPSB, such form will be hosted by the Website’s hosting provider.
Such service providers may also be based in another country. In such a case, your personal information may be transferred to a service provider in another country. In transferring the personal information, the LPSB will employ suitable safeguards to protect the privacy and security of your personal information and otherwise comply with data exportation laws so that the personal information is only used in a manner consistent with your relationship with the LPSB and this Notice.
5. Retention of your Personal Information.
The LPSB will retain your personal information in accordance with the LPSB – 111 Board Records Retention & Storage Policy, which categorizes the information held and specifies the appropriate retention period for each category of information. The LPSB will retain your personal information for at least one year after its use (assuming it is used).
6. Protection of Personal Information.
The LPSB has implemented reasonable electronic and physical safeguards on the Website to protect the security of all electronic records in its custody or control which contain personal information.
7. Right of Access and Correction.

8. Changes to this Notice.
The LPSB may review and revise this Notice from time to time. When a substantive change is made, the LPSB will notify you through a pop-up on the website.
